EVENT CODE OF CONDUCT

The National Association of Conservation Districts (NACD) hosts premier events for leaders in conservation, from conservation district officials and agency representatives to industry professional to learn, collaborate, network and share ideas. We believe that ensuring a wide, diverse range of voices that fully represent the diversity of the membership we serve is essential to a thoughtful, robust conversation as well as better decision-making and policy-setting. 

To that end, NACD is dedicated to ensuring that our events and gatherings are an inclusive, respectful, productive, and harassment-free experience for all conference participants. Any behavior, whether personal or professional, that is unwelcome and offensive or shows disrespect or aggression toward any individual associated with NACD’s event including but not limited to members, speakers/presenters, sponsors, vendors, and staff will not be tolerated. 

NACD strongly encourages that conference participants report any behavior inconsistent with this Event Code of Conduct. If anyone is made to feel unsafe or unwelcome or observes someone else’s situational discomfort, that situation should be immediately reported Karla Maldonado-Mitchell, NACD’s Chief Operating Officer at karla-maldonado@nacdnet.org or via phone 202-595-9129. If you cannot locate NACD’s Chief Operating Officer, please contact the closest NACD staff member.  

Violating any portion of this Event Code of Conduct may result in removal from event activities without refund or warning and potential prohibition from attending future events. 

Terms of NACD’s Event Code of Conduct are non-negotiable and may be revised at any time by NACD management. Your registration for or attendance at any NACD event indicates your agreement to abide by this code of conduct and its terms. 

PHOTO CONSENT CLAUSE

By entering an NACD event, you are entering an area where photography, video, and audio recording may occur. Your entry and presence at the even constitutes your consent to be photographed, filmed, and/or otherwise recorded by NACD. NACD may use these photographs and/or recordings for promotional purposes on our webpage, on social media, and in our publications and promotional materials. You waive any right to inspect or approve the use of photographs and/or recordings, and understand thay you willl not be compensated for the use of photographs and/or recordings in which you appear. If you do not agree to this, please do not enter the event premises.

REGISTRATION POLICIES

Full registration includes entry into the National Conservation Showcase, General and Breakout Sessions, Tuesday’s Leadership Luncheon and NCF Live Auction, and Wednesday's Appreciation Banquet. All events require a badge for entry. 

Full registration does not include entry into Host State Event or tours. Tickets to these events are limited and must be purchased separately when registering.

A separate form must be completed for each registrant.

Early Bird Registration is defined as registration and payments received before December 19, 2025.

Regular Registration begins December 20, 2025 and ends January 26, 2026.

DO NOT mail payment after January 16, 2026. After this date, you must complete payment onsite.

Special Assistance Needs: If you have any needs addressed by the Americans with Disabilities Act (ADA), or dietary requirements, please contact NACD at 202-547-6223 or by email at events@nacdnet.org by January 16, 2026, so that we can accommodate your request.

Registration Confirmation: A confirmation email will be sent soon after you register and payment is received. If you do not receive your confirmation, please call NACD at 202-547-6223 or by email at events@nacdnet.org. Your email confirmation is your receipt for the meeting; please keep it for your records. You must provide payment to be registered for the conference and tours.

REGISTRATION CANCELLATION & SUBSTITUTIONS

Cancellations, substitutions, and requests for refunds must be submitted in writing to events@nacdnet.org before January 16, 2026 to receive a refund. An administrative processing fee of $100 will be deducted. Partial refunds of registration fees after January 16, 2026 will not be refunded except in extenuating circumstances that are clearly beyond the control of registrants, such as airport or road closures for weather, extreme immediate family emergencies, etc. In this case, a written request must be provided. All approved refunds will be processed within six to eight weeks after the meeting. For questions regarding your refund, please contact NACD by email at events@nacdnet.org Returned checks are subject to a $50 administrative fee.

Room rate starting at $279/night plus tax.

RESERVATIONS

To reserve your room, please call 800-648-4462 and identify yourself as a registrant with the National Association of Conservation Districts or “NACD.” You can also make a reservation online. If you are a government employee, please reach out to events@nacdnet.org to inquire about per diem rooms. 

Reserve your room early for best availability. Rooms in NACD’s room block are first come, first served and there may be limited or no availability as the deadline for the room block nears. The last day to reserve a room in the room block is January 26, 2026.

PARKING

The San Antonio Marriott Rivercenter on the River Walk offers parking. The current parking rates are as follows: 

  • Self- Parking is currently available at $43.00 per day (Plus Tax). 
  • Valet Parking is available at $55.00 per day (Plus Tax). 

TRANSPORTATION

The best form of transportation to the hotel will be rideshare. San Antonio International Airport (SAT) is about 8 miles from the San Antonio Marriott Rivercenter on the River Walk. 

TAXES

Room rates are exclusive of any applicable taxes (which are currently 16.96%), applicable San Antonio Tourism PID fee (current county fee is 1.25%), and/or Hotel-specific fees in effect at the time of the NACD Annual Meeting. Total room charges will include all room fees and taxes. 

CANCELLATION POLICY

Reservations must be cancelled at least 72 hours prior to arrival to avoid room and tax charges. 

REGISTRATION DISCOUNTS

Conservation districts that have paid their dues at a platinum or diamond level this year are entitled to registration discounts as part of their membership benefits!

  • Platinum level members receive a 2nd regular registration free.
  • Diamond level members are eligible for a 2nd regular registration at half price.

New Lifetime Members of Friends of NACD are also eligible for a single 10% off on registration. Please consider becoming a member of the Friends of NACD program to qualify.
